Sightline Softball (sightlinesoftball.com) is part of Sightline Baseball. Everything below applies to it the same way: wherever it says Sightline Baseball, sightlinebaseball.com or baseball, read it as covering softball too.

Sightline Baseball ("Sightline," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy describes what personal information we collect, how we use and share it, and your rights and choices regarding it. This Policy applies to your use of the Service at sightlinebaseball.com.

1. Information We Collect

Account Information: name, email address, hashed password, date of birth, and user role (player or scout).

Player Profile Information: graduation year, positions, height, weight, high school, travel/club team, hometown, GPA, standardized test scores (SAT/ACT), NCAA Eligibility Center status, contact information (email, phone), parent or guardian contact information (name, email, phone) when a coach or player records it, headshot, season statistics, measurables, awards, notes, uploaded screenshots and media, video/film links, upcoming schedule, and coach verification records.

Scout Profile Information: organization, role, and roster/prospect data added or imported, including scout-created notes, tags, grades, interest levels, injury records, contact and outreach logs, financial/budget figures (including scholarship and NIL allocations and program budget settings), eligibility and transfer-status tracking fields, recruiting travel and visit costs, exit-interview responses, team statistics uploads, and other private annotations.

Prospect Self-Report Submissions: if a coach shares a self-report link with you, information you submit through that form (name, graduation year, positions, physical measurables, school and team, email, phone, hometown, and any note you write) is collected and delivered to that coach's private board for their review.

Opponent Scouting Uploads: coaches may upload opponent hitter charts for game preparation. These may contain names and statistics of players on opposing teams. They are kept private to the uploading coach's own program, are never linked or matched to any Sightline player profile (even when a name matches), and are never visible to the players named in them or to other accounts.

Usage and Technical Information: IP address, browser type, device information, operating system, referring URLs, pages viewed, time spent on pages, and interactions with the Service.

Communications: correspondence with our support team, feedback, and any other communications you send us.

Payment Information: for paid coach and program subscriptions, payment is collected and processed by our third-party payment processor, Stripe. We never see or store card numbers; we store your subscription status, your program's agreed rate, and Stripe customer and subscription identifiers.

2. How We Use Your Information

We use the information we collect to: (a) provide, operate, and maintain the Service; (b) create, manage, and secure your account; (c) enable you to create profiles, generate reports, and share them; (d) allow scouts to view, import, and organize player profiles you have shared; (e) send you notifications related to your account and the Service; (f) process subscription payments and manage trials and billing status; (g) improve, personalize, and expand the Service; (h) develop new features; (i) comply with legal obligations and enforce our Terms; and (j) protect the safety and security of the Service and its users.

Email: we send account-related email (such as billing and security notices), email a coach explicitly composes and directs us to send on their behalf (such as recruiting outreach to a prospect the coach chooses), and an optional weekly account digest. Every digest includes a one-click unsubscribe link, and unsubscribing stops future digests immediately.

3. How We Share Your Information

With Recipients You Choose: when you generate a share link or invite a coach, the information included in that report is accessible to anyone with the link. Once shared, we cannot control how recipients use or redistribute the information.

With Service Providers: we use trusted third-party providers to operate the Service, including but not limited to Supabase (database and authentication), Vercel (hosting, infrastructure, and aggregate usage analytics), Stripe (payment processing), Anthropic (AI-powered extraction of stats from screenshots and documents, and generation of insight summaries — content sent for processing is used only to provide the feature), Resend (email delivery), and Google (optional Sign in with Google authentication, and web font delivery). These providers process personal information only as needed to provide their services and are contractually bound to protect it.

For Legal Reasons: we may disclose personal information if we believe it is necessary to (a) comply with a subpoena, court order, legal obligation, or other legal process; (b) protect the rights, property, or safety of Sightline, our users, or others; (c) investigate, prevent, or respond to suspected fraud, abuse, or violations of our Terms; or (d) as required in connection with a merger, acquisition, sale of assets, or bankruptcy.

With Your Consent: we may share your information in other cases with your explicit consent.

We do not sell your personal information. We do not use your information for third-party advertising.

4. Children's Privacy

The Service is designed for users 13 years of age or older. We do not knowingly collect personal information from children under 13. If we learn we have inadvertently collected information from a child under 13, we will delete it as promptly as reasonably possible.

The Service requires parental involvement for users between 13 and 17 (see Terms of Service, Section 1): at signup — and, for prospect self-report links, at the point of submission — the user confirms that a parent or guardian is aware of and agrees to their use of the Service on their behalf. We do not independently verify this confirmation. Parents and guardians may contact us at jeff@sightlinebaseball.com to review, correct, or delete their child's information at any time, including information submitted through a coach's self-report link.

If you are a parent or guardian and believe your child has provided us with personal information without your consent, please contact us immediately.

5. Recruiting Data, FERPA, and Coach/Scout Data Isolation

Scout-Private By Default: a player's recruiting profile data — notes, tags, interest levels, roster budget figures, and other annotations a scout adds — is private to that scout's own account and program. Our database enforces this isolation at the data-access layer (row-level security), not only in application logic: annotations are not readable by unrelated accounts. Recruiting data becomes visible to someone else only through deliberate actions: (a) you (the player) or the scout who added it generates and sends a share link; (b) a scout imports a profile a player has made visible to them; or (c) the account owner invites a staff member (e.g., an assistant coach) onto their board through the Program Staff feature, which grants that invited account access to the board's data within the categories the owner selects — an invitation the owner can edit or revoke at any time.

FERPA Awareness: Sightline is a private, self-service recruiting tool, not a school system, and is not itself a "school official" under the Family Educational Rights and Privacy Act (FERPA). If you are a coach or staff member at an NCAA-affiliated institution, any student education records you handle remain subject to your institution's own FERPA obligations and policies — using Sightline does not transfer or diminish those obligations. We encourage coaches and programs to consult their institution's compliance or registrar's office about what recruiting-related information is and is not appropriate to store in a third-party tool.

This section describes our own data-handling practices and is not legal advice. It has not been reviewed by outside counsel; if you have specific compliance questions, consult your institution's compliance office or your own attorney.

6. Data Security

We implement reasonable technical and organizational security measures designed to protect your information, including encryption of data in transit and at rest, secure authentication, and access controls. However, no security system is impenetrable, and we cannot guarantee the absolute security of your information.

In the event of a data breach that affects your personal information, we will notify you and applicable authorities as required by law.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. When you delete your account, we will delete your information from active systems within 30 days, except that we may retain: (a) information in backups for a longer period; (b) information required to comply with legal obligations; (c) information necessary to resolve disputes or enforce our agreements; and (d) aggregated, de-identified data indefinitely.

8. Your Rights and Choices

Depending on where you live, you may have the following rights regarding your personal information:

Access: request a copy of the personal information we hold about you. Correction: correct inaccurate information. Deletion: request that we delete your account and associated personal information. Portability: receive a copy of your information in a portable format. Objection or Restriction: object to or restrict certain processing activities. Withdrawal of Consent: withdraw consent for processing activities that require consent.

To exercise these rights, contact us at jeff@sightlinebaseball.com. We will respond within 30 days. We may need to verify your identity before fulfilling your request.

If you do not have a Sightline account but believe a coach has recorded information about you in the Service (for example, on their private prospect board or through a self-report link you used), you or your parent/guardian may contact us at the same address to request access to or deletion of that information.

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete personal information, and the right to non-discrimination for exercising privacy rights. We do not sell personal information under CCPA definitions.

9. International Users

The Service is operated in the United States. If you access the Service from outside the U.S., you understand that your information will be processed and stored in the U.S., where privacy laws may differ from those in your country. By using the Service, you consent to this transfer.

10. Third-Party Links and Services

The Service may contain links to third-party websites or reference third-party services. This Privacy Policy does not apply to those third parties, and we are not responsible for their privacy practices. Review their privacy policies before providing information to them.

11. Do Not Track

Some browsers offer a "Do Not Track" signal. The Service does not currently respond to Do Not Track signals, as no consistent industry standard exists.

12. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to operate the Service, remember your preferences, and analyze usage. You can control cookies through your browser settings, but disabling cookies may limit your ability to use the Service.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by prominent notice on the Service. The "Last updated" date at the top of this Policy indicates when it was most recently revised. Your continued use of the Service after changes constitutes acceptance.
